Track project contingency draws through opening

A contingency is useful only when the owner can see what has consumed it and what remains. Treat each draw as a decision with a reason, amount and approval. Keep known work in the base budget; contingency should not conceal tasks that were omitted from the original estimate.

Work through the decision

  1. Assign a reference to each proposed draw.
  2. State the trigger and alternative options.
  3. Record approval before the payment commitment.
  4. Reconcile the remaining allowance to actual spending.

For each action, name the person responsible for preparing the response and the person who approves it. Record what evidence would close the item. If new information changes cost, timing or scope, update the affected plan and identify who needs the revised version.

Common failure to avoid

Do not count the same reserve both as available project contingency and untouched operating liquidity. Show transfers explicitly in the cash plan.

Worked example

An illustrative project allocates $8,000 of contingency. A documented $1,200 access-related delivery charge reduces the uncommitted allowance to $6,800. The owner records whether the charge has merely been approved or has actually been paid.

Close the handoff

A finished worksheet should identify the result, its evidence and any remaining owner. If the result is uncertain, record the next action instead of marking the whole task complete. Keep the worksheet with the relevant source file and tell the receiving person which version applies.
