Prepare an owner approval packet for a property decision

An approval request should contain enough evidence for the owner to understand the choice and its consequences. Keep the request focused on one decision, show the available options and specify the time constraint. Silence should remain an unresolved decision unless an agreement expressly establishes another process.

Evidence to assemble

Gather the source records before completing the worksheet. A missing record should remain an open question. Keep the original alongside any summary so the next person can trace the decision.

Work through the decision

  1. State the requested approval in one sentence.
  2. Show cost and timing differences between options.
  3. Attach the source evidence.
  4. Record the owner response and affected plan version.

For each action, name the person responsible for preparing the response and the person who approves it. Record what evidence would close the item. If new information changes cost, timing or scope, update the affected plan and identify who needs the revised version.

Common failure to avoid

Avoid describing an option as free when it consumes contingency or removes part of the approved scope. Show the actual budget movement.

Worked example

A hypothetical furniture substitution costs more but arrives earlier. The packet presents both delivered costs, revised room dimensions and the effect on photography. The owner can approve an informed tradeoff without reconstructing a message thread.

Close the handoff

A finished worksheet should identify the result, its evidence and any remaining owner. If the result is uncertain, record the next action instead of marking the whole task complete. Keep the worksheet with the relevant source file and tell the receiving person which version applies.
