STR Renovation Budgets and Change Orders

Control renovation scope, contractor quotes, contingency funds and budget changes during your STR launch.

What should a contractor quote include before I approve it?

Request an itemized scope, materials, exclusions, payment schedule, expected timeline and the handling of permits and inspections. Confirm who purchases equipment and who removes debris. For important work, have the appropriate professional review the scope. A low total price is difficult to compare if it omits tasks needed to finish the job.

How should I budget for renovation uncertainty?

Separate known quotes from estimates and add a contingency suited to the property's condition and project complexity. Older systems, demolition and poorly documented prior work increase uncertainty. Keep the contingency available until the project is complete. Recalculate the investment return using the complete expected budget, including the contingency and lost operating time.

What should happen before a contractor starts extra work?

Require a written change order explaining the additional scope, price and effect on completion dates. Identify the person who can approve it and keep approvals in the shared project record. Emergency work may need a different process, but that authority should be agreed in advance. Verbal requests can produce unexpected bills and competing expectations.

How do I prevent design choices from pushing the deal over budget?

Set a total launch budget and allocate it among repairs, furnishings, amenities and contingency. Ask the designer to show selections against that budget before ordering. Revisit the pro forma when a major choice changes costs or opening dates. Approve substitutions based on durability, guest experience and the financial effect together.

Should I pay a contractor the entire amount upfront?

Review the proposed payment schedule carefully and confirm it with your adviser for larger projects. Payments tied to documented milestones can help you monitor progress. Understand deposits for materials, cancellation terms and the evidence needed for final payment. Verify the contractor's identity and payment details independently before sending money.

What should I verify before releasing final payment?

Compare the completed work with the agreed scope, approved changes and outstanding punch list. Confirm required permit closeouts, inspections, warranties and invoices. Ask your adviser about lien documentation where appropriate. A final walkthrough should identify defects and remaining work before you agree that the project is complete.
